Creating a New Rate Plan

Multiple rate plans allow you to sell the same accommodation under different conditions and/or treatments.

Attention: the rate plan DOES NOT indicate a price. The rate plan associates rules to a price regarding treatment (e.g., breakfast, half-board), cancellation conditions, and whether deposits are required.

Remember that these rules are valid ONLY on the CiaoBooking booking engine and are not synchronisable with OTA portals. Best practice suggests that a hypothetical "Non-refundable" rate plan should be linked to the corresponding rate plan on the OTA portal.

To create a rate plan

  1. Go to:
    Settings ā†’ Property ā†’ Room & rates ā†’ Configure ā†’ Rate plans
  2. Click on "+ ADD".

Then fill in the following required fields:

  • Name: The name displayed in the calendar.
  • Unit category: Associate one or more accommodation categories to this rate plan.
  • Meal plan: Select whether it includes:
    • Room only
    • Breakfast included
    • Half-board
    • Full-board
    • All-Inclusive
  • Decide if the rate is refundable by enabling the "Refundable" toggle. If you activate this flag, ensure you complete the following:
    • Refundable terms: (select how long the booking will be refundable for).
    • Refundable penalty: If the customer cancels beyond the limits set in "Refundable until", this value will indicate how much they must pay.
    • Deposit: If you do not require deposits, set it to 0%.

Set the Default Values

  • Min Price: A safety value. The system will alert you if you try to set a price lower than this.
    If the calculated price result from derived rates is lower than the minimum price, the system will apply the minimum price instead of the derived result.

  • Min Stay: Set a default minimum stay for the rate.

    The minimum stay is automatically set by the system only the first time a new price is applied to an empty cell.
    If a minimum stay is already set in the calendar, this default value will have no effect on the existing prices.

  • Max Stay: Set a default maximum stay for the rate.

    The maximum stay is automatically set by the system only the first time a new price is applied to an empty cell.
    If a maximum stay is already set in the calendar, this default value will have no effect on the existing prices.

  • Autoclose of the Rate Plan: The main purpose of this feature is to avoid last-minute bookings or to close a specific rate plan X days before arrival. If you want to use this feature, set:
    • Autoclose days: A numerical value that represents how many days from today the plan should close (0 Days equals today).
    • Ora time: Set the exact time of day when the system should proceed to close the upcoming X days.

Example:

If you want to avoid receiving bookings for today after 16:00, you can set "Automatic closure" to 0 and "Closure time" to 16:00.

Derivation Rules

You can set your new rate plan to inherit the price and restrictions from another rate plan.
For example, you may want to create a "non-refundable" rate plan and want it to be 10% cheaper than the standard rate. To inherit and modify these settings:

  1. Open the "Derivation Rules" section.
  2. Select the rate from which you want to derive the settings.
  3. Set the derivation rules you wish to apply, including:
    • Length of stay.
    • Restrictions.
    • Stop sell.

Choose how to calculate the price by setting:

  • Amount Variation: Whether in percentage or currency.
  • Amount Value: You can apply a discount by inserting a negative value, such as -10.

Children Rates Config

In the "Children Rates Config" section, you can set the price per child per night. Set the age group and the price. Discounts cannot be applied. The logic is very similar to the one used on Booking.com.

Click on the green "+" to create a new age range or the red "-" to delete an age range.

Create and Save the New Rate Plan

Don't forget to click the "CREATE" button in the black bar at the top right to create the new rate plan.
Upon creation, all the rules you have set will be saved.

It may take a few minutes to see the calculated prices in the calendar if any derivations have been applied.

Ensure the Rate Plan is Linked with OTAs

It is not a mandatory step, but if you manage the same rate plan on OTAs, we recommend mapping the newly created rate plan with the same rate plan on the OTA; otherwise, they will not be linked.
