Housekeeping Calendar

The Housekeeping Calendar is a great tool for organising and planning cleaning tasks. It is specifically designed for those who manage cleaning activities.

For easier reading of daily cleaning tasks, we recommend using the Housekeeping Planner.

The Housekeeping Calendar can be accessed by navigating the main menu of CiaoBooking: Housekeeping → Housekeeping Calendar.

 


Features of the Housekeeping Calendar

In the left column of this workspace, you can:

  • Select the date range to be displayed.
  • Filter by accommodation type.
  • Filter by unit.
  • Show cleaning tasks assigned to a specific staff member.
  • Sort tasks by Unit (similar to the Booking Calendar) or Cleaning Type (e.g., touch-up or check-out).

Once you have applied filters, you can also EXPORT the displayed cleaning tasks to an Excel file, or proceed to PRINT the planner.

 


Changing the Date Range and Visible Period

In the calendar, you can view tasks for one day, four days, one week, or an entire month. You can also use the mini-calendar in the left column to set the exact dates to display.

 

 


Managing Cleaning Tasks

In addition to providing an overview of scheduled cleanings, the calendar allows you to edit individual tasks if needed. Simply click on a specific task to modify it:

 

 

You can quickly:

  • Edit the start time for cleaning.
  • Mark the task as completed.
  • Modify other details using the "Edit" button.
  • Delete a specific task.

 


Colour Legend

In the calendar, you will notice two possible colours: Purple or Grey. These indicate:

  • Purple: Check-out cleaning tasks.
  • Grey: Touch-up cleaning or linen change tasks.

 


Export or Print the Planner

Once you have set the visible period and/or applied filters, you can either export the report to an Excel file or print the planner.

  • Export: Only the tasks displayed on the calendar will be included.
  • Print: This includes the cleaning tasks as well as the arrivals for the selected period.

Linking Bookings to Cleaning Tasks

Cleaning tasks are linked to a specific booking. Generally, the check-out cleaning task can display the number of guests for the next booking. This information is available if:

  • The check-out cleaning task is scheduled for the same day as the arrival of the next booking.
  • If there is no booking on the same day as the cleaning task, the predefined setup configured in the housekeeping rules will be applied instead.

 


Printing the Housekeeping Report

The Housekeeping Report should be printed ideally 24 hours before the cleaning tasks are due. This ensures high reliability because the report is most accurate when produced close to the cleaning date, for the following reasons:

  • Last-minute cancellations.
  • Last-minute bookings.
  • Any other changes.

The link between the next booking and the check-out cleaning task is constantly updated from 48 hours before, according to the following logic:

  • Every hour, for each check-out cleaning > Is there a subsequent booking? > Yes > The cleaning is linked to the subsequent booking.

The other logics involved are as follows:

  • New booking > Is there a subsequent booking? > Yes > Link the check-out cleaning to the subsequent booking.
  • Booking cancelled > Unlink from any check-out cleanings.
